Sign.UseWise™ Add-on is an add-on that will assist you when using Sign.UseWise™ – email signature management SaaS that enables you to create and deploy Google Workspace (and others, in the future) email signatures throughout your organization and manage other aspects of the office productivity suite.

Miadria LLC (“We”, “Us” or “Our”) is committed to protecting users’ privacy and this Privacy policy has been prepared due to our appreciation of your privacy and in order to be clear about the information that we collect and use on our Services.

We use your personal information to provide and improve the service and that is providing a company-wide signature management system for Google Workspace. We will not intentionally sell, share, or distribute your personal information to third parties, except as required by law. 

We do not access the content of your and your organization’s emails and have no control over them. We only have access to the information you (and your users) include in your email signatures and the information you upload to Google Workspace or to Our services.

By using the service, you agree with the collection and use of information according to this policy. If you do not want to be bound by anything herein, please do not access or use our services.

Data collected

This section explains the information we collect from our Customers. We collect data from the following sources and for the following purposes:

Registration and authentication

By registering or authenticating, Users allow Miadria LLC to identify them and give them access to dedicated services.

Depending on what is described below, third parties may provide registration and authentication services. In this case, we will be able to access some data, stored by these third-party services, for registration or identification purposes.

Google Cloud Platform is a hosting and computing service provided by Google Inc.

Google user data handling

Sign.UseWise™ and this Add-on used with it are designed and published as a Google Workspace Marketplace solutions. We adhere to a set of best practices of secure enterprise solution development defined by Google. 

We use the Google Workspace platform to push signatures to your Google Workspace users. To deliver our services, we need some data about your company and Google Workspace account. We use this information solely for signature management purposes.

The list below contains all the scopes we use for API access to customer data. We also specify for what exact purpose we need it and we often use only a small part of the granted access level.

The add-on requires the following OAuth2 scopes to function properly:

  1. Gmail Add-on Execution
    • Scope: https://www.googleapis.com/auth/gmail.addons.execute
    • Reason: Allows the add-on to run within the Gmail environment and interact with the Gmail interface.
  2. Gmail Current Message Actions
    • Scope: https://www.googleapis.com/auth/gmail.addons.current.message.action.compose
    • Reason: Enables the add-on to perform actions on the current message, such as inserting the signature into the email draft during composition.
  3. Gmail Settings Basic
    • Scope: https://www.googleapis.com/auth/gmail.settings.basic
    • Reason: Used to access the user’s Gmail settings, specifically to list all “send as” email addresses and retrieve their associated signatures via the Gmail.Users.Settings.SendAs.list(‘me’) method in the getUserSignatures() function.
  4. Admin Directory Customer Read-Only
    • Scope: https://www.googleapis.com/auth/admin.directory.customer.readonly
    • Reason: Allows the add-on to retrieve customer information from the Admin SDK Directory API using the AdminDirectory.Customers.get(‘my_customer’) method in the getCustomer() function. This is used to verify if the user belongs to an active Sign.UseWise.app customer account.
  5. External Request
    • Scope: https://www.googleapis.com/auth/script.external_request
    • Reason: Required for making external HTTP requests using UrlFetchApp.fetch() in the isActiveCustomer() function. This is used to communicate with the Sign.UseWise.app backend to check the user’s active status.

Sign.UseWise™ Gmail add-on data protection mechanisms 

We have security procedures in place to protect confidentiality of user data. These are as follows:

  • Data Storage: We do not permanently store your personal data on our servers. Any data transmitted to our backend for verification is handled securely and not retained longer than necessary.
  • Security Measures: We use industry-standard encryption protocols (HTTPS) to protect data during transmission between the Add-on and our servers.
  • Access Controls: Only authorized personnel with a need to know have access to your data for troubleshooting and support purposes.
  • Third-Party Sharing: We do not sell, trade, or rent your personal data to third parties.
  • Legal Obligations: We may disclose your information if required by law or in response to valid requests by public authorities. However if there will be a need to do so we will respond to these requests through attorneys and demand the valid court decision that will support these demands. 
  • Revocation of Consent: You may revoke the Add-on’s permissions at any time by uninstalling it or adjusting your Google account permissions.
  • Data Deletion: To request deletion of data that may be stored on our servers, please contact us at support@usewise.app.

Processing payments

The add-on is free for users of Sign.UseWise™ app, works only with Sign.UseWise™ and is developed to be fully functional and work with trial or with purchased version of Sign.UseWise™. 

Storage and Images

We use Google Cloud Storage and Google Firestore to store data. We collect the following data: Google Workspace profile images, images uploaded by CKEditor upload functionality (custom images), solution images (logo, social icons, signature preview images, template images, banners).

Automated data collection on our web app and services

Once you visit our website, we use third-party analytics tracking services: Google Analytics and Google Tag Manager to record the information that will further help to identify your visit, without recording the personal information like your name and address. Those analytics services will encrypt and hide your personal information such as your name and address from us, but they will give us valuable information about the pattern of your visit. 

The information which the third-party analytics services collect from you includes your IP address, your device, operating system, your time zone, device’s system language, browser settings, plugins and location. Analytics tracking services also record which web pages you accessed, the order by which you accessed them and the duration you spent on each web page. We may also use separate trackers which tell us which buttons you clicked, recording of your scrolling activity and the order of activities you performed before leaving the website.

Our third-party analytics providers may place a cookie on your browser so that we may identify you as a return visitor if you visit our website more than once.

Communication

We may use your personal information to contact you with newsletters and marketing materials. You may choose not to receive these communications from us by following the provided instructions in any email in which we send the subscription cancellation link or by contacting us.

Data retention

We only keep your personal data for as long as necessary to fulfill the purposes for which we collected it for. 

To determine the appropriate retention period for personal data, we consider the amount, nature, and sensitivity of the personal data, the potential risk of harm from unauthorized use or disclosure of your personal data, the purposes for which we process your personal data and whether we can achieve those purposes through other means, and the applicable legal requirements.

Your rights

We believe it is important to give you choices about the use of your information. We will use your information as described in this Policy. If we want to use your information for a purpose not described in this Policy, we will first get your consent to do so.

Our Service may contain links to other sites that are not operated by us. If you click a third-party link, you will be directed to that third-party’s site. We strongly advise you to review the Privacy Policy of every site you visit.

We have no control over and assume no responsibility for the content, privacy policies or practices of any third-party sites or services.
